01About this notice
NiagaKira is operated by ForgeDevs Sdn. Bhd. (Registration No. 202601021013 (1683110-W)), a private company limited by shares incorporated in Malaysia, with its registered address at Unit 11-3A, 3rd Mile Square, No. 151, Jalan Klang Lama, Batu 3 1/2, 58100 Kuala Lumpur, Wilayah Persekutuan, Malaysia (“ForgeDevs”, “we”, “us”).
This notice explains how we collect, use, share and keep personal data when you use the NiagaKira mobile app and the website at niagakira.forgedevs.my (together, “NiagaKira”). It is issued under Malaysia's Personal Data Protection Act 2010 (PDPA). It is separate from the Terms of Service, which set out the contract for using NiagaKira. Where we need your consent for a particular use of personal data, we will ask for it separately.
In NiagaKira, your records live in a business workspace, which may be shared with other authorised users of the same business. Your personal account is yours; the workspace belongs to the business. This distinction matters for sharing, retention and deletion below.
02Information we collect
Most of the information in NiagaKira is entered by you or by other authorised users of your business workspace. We collect:
- Account information. The name, email address and sign-in details used to create and secure your account.
- Business workspace information. The business name, type and other details added to the workspace, and which users are members of it and their roles.
- Financial records. Income and expenses recorded in the workspace, including amounts, dates, categories, merchants or payers, payment methods, line items, tax amounts and notes. These may include personal data about third parties, such as customers or suppliers.
- Receipts and documents. Images of receipts you scan or upload, and the text extracted from them.
- Information NiagaKira generates. The accounting records built from your entries, dashboard summaries, merchant and category suggestions, and exports you create.
- Usage and technical information. Device type, operating system and app version, language setting, and information about how the app is used, collected through our analytics provider.
- Support communications. What you send us when you contact us by email or WhatsApp.
This information comes from you, from other authorised users of your workspace, from your device, and from the providers we use to run NiagaKira. NiagaKira does not collect information from your bank, POS system or payment provider.
03How we use it
We process personal data to provide NiagaKira under our Terms of Service, to run and protect our business, to comply with the law, and otherwise with your consent. Specifically, to:
- Run your account and store your workspace's records.
- Calculate the summaries shown on your dashboard.
- Read receipts you scan and suggest details for you to review.
- Suggest merchants and categories based on earlier records in your workspace.
- Produce exports when you ask for them.
- Keep NiagaKira secure and prevent misuse.
- Respond when you contact us.
- Understand how features are used so we can fix problems and improve the product.
- Send service messages about your account, and early-access updates if you signed up for them.
- Meet our legal obligations.
We do not sell your personal data, and we do not use your financial records for advertising.
04Receipt scanning
When you scan or upload a receipt, the image is processed by Azure AI Document Intelligence (Microsoft), hosted in Singapore, to suggest the amount, date, merchant and category. These are suggestions only. They can be wrong or incomplete, and you review and confirm them before anything is saved. If a receipt cannot be read, the app tells you and you enter the details yourself.
Receipt images are kept with the transaction they belong to, in our file storage in Malaysia, so you can refer back to them.
05Sign-in and analytics
We use Clerk to manage sign-in and account security, and PostHog to understand how NiagaKira's features are used. The infrastructure providers we rely on also keep their own operational and sign-in logs as part of running their services. We do not use analytics to show you advertising.
07Where data is stored
NiagaKira's core systems are hosted in Malaysia (Microsoft Azure, Malaysia West) and Singapore (Supabase and Azure AI Document Intelligence). Some providers, including our sign-in and analytics providers, may process data outside Malaysia and Singapore according to their own infrastructure. Where personal data is transferred outside Malaysia, we take steps so that it is protected consistently with this notice and the PDPA.
08Security
We use reasonable technical and organisational safeguards appropriate to the information we hold, and the providers we rely on operate their own security programmes. No system is completely secure, so we cannot guarantee absolute security. Keep your sign-in details private and tell us straight away at hello@forgedevs.my if you believe your account has been accessed without your permission.
09How long we keep it
We keep information for as long as it is needed for the purpose it was collected. In general:
- Active accounts and workspaces. Kept while the account or workspace remains active.
- Deletion you request. Once a deletion request is confirmed, the data is removed from our active systems. Copies may remain temporarily in routine backups until those backups expire.
- Paid subscription that expires without renewal. The business workspace stays read-only for 90 days so records can be reviewed and exported, after which it becomes eligible for permanent deletion following reasonable notice. This does not apply to pilot users using NiagaKira for free.
- Operational and security information. Kept for a limited period for legitimate purposes such as keeping the service running, security and troubleshooting.
- Limited exceptions. We may keep limited information longer where the law requires it, or where it is needed for security, fraud prevention or resolving disputes.
ForgeDevs keeps its own business records (for example, invoices issued to you) for the periods Malaysian law requires. That obligation applies to our records, not to your business records: you remain responsible for keeping copies of any records your business is legally required to retain.
10Deleting your account or business
You can ask us to delete your personal account, a business workspace, or both, from within the app or through our website at niagakira.forgedevs.my/delete-account. Deleting your personal account does not delete a business workspace shared with other users; a sole owner needs to delete or transfer the business first. Once a deletion is completed it generally cannot be reversed. Full details are on that page.
11Your rights and choices
Under the PDPA you have the right to access and correct your personal data, to withdraw consent to processing, and to limit processing for direct marketing. You can review and correct your records in the app, export your transaction records, opt out of non-essential emails, and contact us at hello@forgedevs.my for any other request. We may need to verify your identity first and will respond within the time the law requires. If you are unhappy with how we have handled your data, you can also complain to the Personal Data Protection Department (JPDP) of Malaysia.
12Children
NiagaKira is for people running a business and is not directed at children. You must be at least 18 years old to create an account. If we learn that we have collected personal data from a child, we will delete it.
13Changes to this notice
We may update this notice as NiagaKira changes. We will publish the new version here with its effective date. If the way we process personal data changes materially, we will give appropriate notice and obtain additional consent where the law requires it. Continued use of NiagaKira is not, on its own, treated as consent to new processing.
14Contact
For questions about this Privacy Policy, or to make a request regarding your personal data, contact the NiagaKira team at hello@forgedevs.my or via WhatsApp at +60 18-982 6200.
